Getting started (minimum viable policy → continuous improvement)

Step 1: Establish a minimum viable policy

Leadership, complete the Policy Template with:

  • A named AI Governance Lead and clear decision rights

  • What is allowed, what is not allowed, and what requires review

  • A simple approach to data sensitivity categories and examples

  • Where questions, incidents, and near-misses are reported

Step 2: Put the policy where people will actually use it

It’s important that everyone is aligned:

  • Publish the policy for the team to read in advance

  • Bring everyone on the same page with a staff meeting

  • Share a follow up message: what the policy does and where people can ask questions

Step 3: Improve it through real learning

On a light monthly or quarterly rhythm:

  • Turn repeated questions into clearer rules and examples

  • Update the approved tools list when tools or features change

  • Review incidents and near-misses, then adjust guidance to prevent repeats

Q: Can we use this if we're a department in a bigger organization?

Yes. While the toolkit is designed for small organizations with fewer than 10 staff, departments within larger organizations can adapt it for their team-level governance. You may need to coordinate with your organization's broader AI or IT policies, but the lightweight approach can work well for small teams that need practical guardrails without heavy bureaucracy.
